Wedding Receptions - Terms and Conditions

  • The hire of the building shall in no way discriminate against anyone on the grounds of their race, ethnic or national origin, gender, marital status, sexual orientation, religious beliefs, disability or age
  • Bookings are only confirmed on receiving a fully completed booking form. Provisional bookings will be held for 14 days whilst we obtain a booking form. The booking will not be confirmed without an invoicing address and telephone number. The hirer shall supply all information requested including details of all their requirements for rooms, facilities and equipment and the likely numbers involved. Additional use of rooms or equipment during the period of hire is at the discretion of the Council and may incur additional cost
  • A 10% non-refundable deposit is required prior to confirmation of booking. The Hirer shall compensate the Council for any cost of repairs of any damage done to any part of the property, including contents during or as a result of the booking. The building is to be left in the same condition as it was at the beginning of the booking
  • Your invoice may include a £250 fee for celebratory hire. This will be on your booking confirmation Please speak to a member of staff for further information
  • The final payment must be paid four weeks before the event date, an invoice will be sent out 28 days before this date
  • The final payment invoice sent to you will be paid in full within 28 days of being issued. Clifton Park and Museum will follow RMBC procedures in recovering any fees that are not paid within this period which may include contacting debt collecting agencies
  • If you wish to cancel your booking the following applies: with less than 2 months’ notice you will be charged 50% and with less than 14 days you will be charged the full amount
  • The council reserves the right to cancel a booking by written notice to the hirer. A refund of fees may be given but no compensation shall be payable by the Authority to any person in consequence of cancellation
  • The council reserves the right to refuse a booking
  • The Hirer shall, during the period of hire, be responsible for supervision of the building, protection of the fabric and contents, safety of the occupants and behaviour of all persons using the building as part of the booking, including proper supervision of car parking and departure so as to avoid disturbance or inconvenience to neighbours or other users. The hirer or person in charge must be over the age of 18 and must be on the premises throughout the hire period
  • You will report to reception on arrival. The receptionist will go through any health and safety information with you
  • All electrical equipment used within Clifton Park and Museum must be safe to use and is the responsibility of the owner
  • RMBC are not responsible for the safe storage of equipment brought into the venue. This includes theft and damages
  • You will not permanently fix decorations, posters or anything else to the walls within the building
  • You will not under any circumstances have open flames including candles within the building
  • Noise must be kept to a minimum and within the building after 11pm
  • The building will always be staffed by a member of RMBC staff or a representative. You must carry out reasonable instruction given to you by the person staffing the building
  • The building will be vacated at the finishing time stated on your booking form and confirmation letter
  • If you do not declare alcohol on site and persons are found to be consuming alcohol during your booking, it will be immediately cancelled. You will be charged in full for your booking plus a celebratory fee as outlined above
  • The hirer shall be responsible for obtaining any licences necessary in connection with the booking other than those already held by the Council. The hirer should check which licences would be required when making the hiring
  • Alterations to bookings on the day must to be confirmed with a booking alteration form. This form must be signed by the booking organiser or representative as indicated on your booking form. This form will be kept on file and a copy sent to the organiser with a new booking fee where appropriate
  • Bookings outside normal operation hours will incur an additional fee per hour for care taking; this will be outlined on your confirmation letter
